Zoom has scheduling functionality similar to Calendly, Acuity and Bookings. This Knowledge Base Article will explain how to configure booking schedules (think of these as meeting types) and how to apply those bookings to your calendar so people can schedule meetings with you based on your real-time calendar availability.
For Faculty: You can embed your Zoom Scheduler into your Canvas course. https://canvas.gonzaga.edu/courses/13397/pages/embed-how-do-i-embed-zoom-scheduler
Prerequisites
- Make sure your Zoom account is connected to your Microsoft/Outlook Calendar
- Log in to your Zoom Account on the Zoom Web Portal https://gonzaga.zoom.us
- Sign in using SSO
- Click Scheduler on the left pane
- Click Settings at the top right
- Click Accounts tab in the right pane under Scheduler Settings
- Add Outlook/Microsoft Account if your account isn't already showing

Instructions
For complete instructions, please see the Zoom Knowledge Base Article-- Getting Started with Zoom Scheduler
The Zoom article will always have the most up to date information and related information. However, for a quick overview, please reference the instructions below.
Access Zoom Scheduler from Desktop Zoom Application
- Open the Zoom Desktop Application
- Click the Scheduler tab at the top
Create Booking Pages
Think of Booking pages as types of meetings people will be able to schedule with you. 1-hour in person meetings. Or 20-minute check in meetings via Zoom. Create Booking Pages and define the type(s) of meeting/booking:
- One to One, One to Many, Any Host Available, All Hosts Available
- How long is this meeting type (30-minutes, 15-minute check in, etc)
- Whether this booking type will be in person or through Zoom
- Which days of the weeks and times you are available for this type of booking (see Assign Availability to Days and Times below)
Assign Availability to Days and Times
- Select the Days of the week and time frame you are available for that type of booking
- Set repeatability using the Repeats setting
- You can also ensure there is time between meetings by configuring the Buffer time setting
Send your Zoom Scheduler page
- Add a link to your Zoom Scheduler page to your email signature
- Or send a direct link to someone who is interested in scheduling time with you
- Post your link on a website, if that makes sense for your job
How appointments merge
Because your Microsoft/Outlook calendar is synced with your Zoom Scheduler-- when a person is looking for time with you, Zoom only shows available times within your Booking Schedules that is also clear from events in Outlook. When a person books through Zoom Scheduler, an event appears in your Outlook calendar (with a Zoom link, if that is the type of booking).
